What to Do When You’re in Event Planning Limbo

2021 is the year in-person events are likely to return. The vaccine is underway. People are excited to travel – some even planning “vaccications” – vacations that are being planned once sufficient vaccinations have been given.

But we’re not ready to gather in large groups just yet. And so much is still unknown. So how do you move forward planning your events for 2021?

Do you host a virtual event? Do you plan for in-person? What happens if groups are not allowed to gather?

For every one step you move forward, you take two steps back the next day. It can feel like you’re in limbo unsure of which direction to move.

When uncertainty has you at a crossroads, gathering information can provide clarity to help you make a decision. Here are a list of questions to help evaluate how to move forward:

In-person events

Venues – What are their existing safety measures? What is the occupancy limit? What safety protocols do they have in place?

State and Local Regulations – What are the current state and local travel restrictions? Are travelers required to quarantine? Are travel forms required? Are events allowed? How many people can gather for events?

Budget Review – What is the estimated cost to host an in-person event? Will you generate ROI from attendee and sponsorship revenue?

Timing – When will the event be held? Is there enough time to pivot to virtual format if regulations don’t allow in-person events?

Virtual events

Have you hosted a virtual event? What worked well and what could be improved?

Which platform and format will you use for a virtual event?

Will the event be paid or free to attend?

How will you keep participants engaged during the virtual event?

Do you have a team to plan and execute a virtual event?

It’s difficult to know when we can gather again safely. By evaluating the questions above, you can develop an event strategy to keep employees engaged, connect with clients and meet your organization’s goals.
